Supplier Packaging Data for EPR: What to Request and How to Control It

Why supplier data becomes the bottleneck

The EPR reporting team may own the deadline without owning the packaging specifications. Finished weights, material descriptions, layer structures, recycled-content details and drawings may live with converters, printers, co-packers or packaging suppliers. Treat collection as a controlled workstream rather than a chain of emails.

What to request

Request the supplier part number, component description, finished component weight and unit, material or resin/board description, layer or laminate information where applicable, recycled-content information where relevant, technical specification or drawing, effective date, and a contact who can confirm future changes. Ask for the source document behind the value, not only the value itself.

Tie every request to a component

Supplier requests should reference your SKU/component or the supplier part number. Otherwise a returned specification can be difficult to connect to the right product. A packaging BOM provides the crosswalk between internal SKUs and supplier records.

Track requests like exceptions

Record request date, due date, status, what was received, evidence location, reviewer, open issue and next-action date. This creates an exception queue. It also makes it obvious which reporting records are still waiting on external evidence.

Do not silently substitute assumptions

If a supplier cannot provide a weight or specification before an internal deadline, document the interim estimate separately with its basis, owner and target resolution. That keeps estimated data from becoming permanent source data by accident.

Build change notification into the relationship

A supplier specification received once is not automatically current forever. Supplier substitutions, downgauging, new closures, new labels and material changes can alter the data. Add an annual refresh and ask suppliers to notify your team when controlled packaging attributes change.
